How should you prepare a group visit inquiry?

A small set of practical details is enough for an operator to begin a reliable feasibility check.

Prepare the essential visit details

Begin with an option, planned date, a scheduled time or a time to arrange individually, and the guide language.

  • a preferred option or a request for help choosing;
  • the start date and any firm timing constraints;
  • the guide language;
  • estimated participant and minor numbers;
  • the group type and country of origin;
  • practical accessibility requirements.

Do not send participant data yet

The initial inquiry does not require participant names, document numbers, invoice details or payment information. Do not provide diagnoses or medical records either; describe only the practical accommodation needed.

You receive a reference after submitting

The system records the inquiry and shows a reference number with secure status access. An operator may ask for more information before preparing a proposal. The form itself is not yet a booking or a guarantee of the date.
